Refunds and cancellation

Eligibility

A full refund of any deposit is due if we have not yet confirmed that an extract is usable and we have done no charting. Once we have accepted an extract and begun cleaning or coding, the deposit is earned. The balance is due on delivery of the PDF even if you later decline the briefing.

Timeframe

Ask for a refund in writing to hello@service-pathbase.click within fourteen days of the event you rely on (for example our inability to staff a confirmed briefing date). We respond within five working days.

Full or partial

If we cancel because of illness or a conflict we cannot staff, you may choose a new date or a full refund of sums paid for the unfinished engagement. If you cancel after charting has begun, we may invoice a partial fee for work already done, documented against the confirmation, and refund any unused balance of a prepayment.

Non-refundable

Travel booked at cost for a briefing outside Greater London is non-refundable once purchased, unless the carrier refunds us. Printed copies already bound are non-refundable. Time spent on a second read of a file you later withdraw is billed as work already started.

Process

Write with the confirmation reference, the engagement name, and whether you wish to reschedule instead. We will state the amount, if any, to be returned.

Processing time and method

Approved refunds are paid within fourteen working days to the same account or card that paid the fee, or by UK bank transfer if you paid by transfer.

Cancellation and rescheduling

You may reschedule a briefing once without charge if you give at least five working days’ notice. Later changes, or a no-show, forfeit the briefing slot. A replacement slot is quoted if the pack is already delivered. We do not charge a “no-show fee” beyond the forfeited slot; the report fee still stands.

Deposits

One third on acceptance of the extract is the usual deposit. It secures analyst time and is not a holding fee for a software reservation.

Work already started and materials

Cleaning an extract, drafting charts, and coding notes are work already started. We do not purchase subscriber lists or third-party data on your behalf, so there are no leftover “materials” of that kind. Draft PDFs remain our working papers until the balance is paid.

Exceptions

If an extract is unlawfully supplied, we will stop and return or delete it; fees for work already done may still be due. Statutory rights under United Kingdom law that cannot be excluded remain in place.
